The United Nations Development Programme (UNDP) invites eligible service providers to submit Expressions of Interest for the provision of comprehensive event management services under a Long-Term Agreement framework.
The key focus areas, objectives, priorities, and themes of this opportunity include establishing Long-Term Agreements for event management services to support UNDP conferences, workshops, seminars, training sessions, high-level and hybrid events; ensuring end-to-end event planning, coordination, venue and accommodation management, technical and audio-visual support, virtual and hybrid event delivery, catering and hospitality services, on-site event execution, photography, videography, and reporting; promoting environmental sustainability and compliance with UNDP operational standards; and assessing market capacity to identify qualified vendors for participation in a subsequent competitive procurement process.
UNDP organizes a wide range of development-focused events across multiple locations, ranging from small meetings to large gatherings of up to 500 participants. To enhance efficiency, quality assurance, and streamlined delivery, the organization intends to establish one or more Long-Term Agreements with qualified event management firms. These agreements will initially be valid for one year and may be extended up to three years based on satisfactory performance, with applicable probation provisions.
The selected service providers will be responsible for delivering complete event solutions, including planning and coordination, identification and booking of venues and accommodation, arrangement of meeting spaces and facilities, and management of participant logistics. They will also ensure compliance with safety, accessibility, and environmental standards.
In addition, the service providers will manage event setup and on-site operations, including seating arrangements, registration services, signage, installation and dismantling of infrastructure, and deployment of support staff. Technical responsibilities will include provision of audio-visual equipment, sound systems, projectors, lighting, IT support, internet connectivity, and real-time troubleshooting during events.
The scope further includes virtual and hybrid event management, catering and hospitality arrangements, as well as photography, videography, and preparation of event materials such as backdrops and banners. All services are expected to align with UNDP policies and sustainability principles.
